URL: Letter of Engagement (LOE) Template Setup
Creating a Letter of Engagement (LOE) template in Figsflow follows a structured approach like the proposal template setup, with a few key differences tailored specifically for engagement letters.
Cover Page Section: The Cover Page section is where you define the initial details of your Letter of Engagement template. Enter the title and a brief description that will be prominently displayed on the cover page of the generated LOE. Upload a cover image and your company’s logo to enhance the visual presentation and maintain professionalism.
LOE Body Section: In the LOE Body section, configure the main content of your engagement letter. Use a textbox to add textual content and upload images as needed to support your message. Unlike the proposal template, there is no testimonial component in the LOE Body section. For clarity and structure, each component starts on a new page in the generated LOE document.
LOE Footer Section: Specify the details that will appear at the bottom of the LOE document. Input your company’s name, provide a brief description or tagline, and include contact and address details. This information is essential for clients to easily reach out to your firm based on the details provided in the footer.
Additional Settings Section: In the Additional Settings section for LOE templates, you have two components:
- Theme Setting: Customise the visual appearance of your LOE template by setting your brand colours and font family for headings, sub-headings, and general text. This ensures consistency and a professional look throughout the document, aligning with your company’s branding.
- Email Setting: Configure email notifications related to the LOE template:
- Live Section: When the LOE is sent to the client for review and signature, an email notification is triggered. Choose from dropdowns for Staff Email and Client Email, selecting from the list of email templates created.
- Signature Success Section: Once the client signs the LOE, another email notification is triggered. Again, choose from dropdowns for Staff Email and Client Email, selecting the appropriate email template for each notification.
These emails are triggered if the Only LOE option is selected on the Generate Proposal page and the Send Live action is triggered.
These email templates are set up separately in the Email Template setup module, where you define the content of each email notification. The Email Setting section in the LOE template setup selects which template to use for automatic email notifications.
By following these steps, you can create a comprehensive and professionally designed Letter of Engagement template in Figsflow. Each section is carefully structured to enhance the presentation, readability, and effectiveness of your engagement letters, ensuring they are aligned with your company’s brand identity and facilitate clear communication with clients.
Instructions
- Go to the Letter of Engagement Tab of Templates Setup
- Click on the “Add New Template” button.
- Enter all the required details in the Cover Page Section and click on the Next button.
- Select required components and enter details in the LOE Body Section.
- If required, arrange the added components using drag and drop feature to structure the proposal. And click on the Next button.
- Enter all the required details in the LOE Footer Section and click on the Next button.
- Select the required theme and font family in Theme Setting, Select the required email templates in Email Setting, and click on the Save button.
