Stop chasing documents by email

FigsFlow client information request software replaces email chains, scattered attachments and endless follow-ups with one secure digital request your client completes step by step, with no login required. Track every request from sent to reviewed, then send AI-processed information straight to your team for preparation.

  • No client login
  • Documents land in your SharePoint

The tour

See client information request software in action

Explore how FigsFlow lets you build a request from a template, customize the questions for each client, and send a secure link, all in a few clicks.

The panel above is the client side of a real request. On your side, the same request starts from a template, carries the questions this client actually needs, and reports its own status back to the job. Book a demo to see the full walkthrough

The chase

The email chase every firm knows too well

It is rarely the deadline that wears a team down. It is the same checklist being resent, re-explained and tracked in someone head because nobody knows what has already been received.

One request, six messages, three weeks

And the checklist still has gaps in it.

Two attachments arrived. Nobody can say which four are still missing without reading the whole thread again.

One request, one link, one status

Sent once. Answered in place. Visible to everyone on the job.

The link is unique to the recipient, expires on the due date, and can be revoked by your team at any time. Every round of correspondence sits on the same record.

In the workflow

One button on the task, not a separate app to open

The request starts from the same job your team is already working, not a tool someone has to open, log into or remember exists on the side. Here is exactly where it sits.

How jobs pick it up โ†’
One client record underneath all four
Build it once

Ask the right questions. Collect the right documents.

One answer can reveal exactly what applies to that client, while conditional logic keeps irrelevant questions out of the way.

Build a form once and reuse it for onboarding, year-end requests, bank statements and more. Clients move through each section step by step, while conditional logic reveals only the sections that apply to them.

Set rules for every upload, including a minimum file count, so requests are complete before they come back to your team. When you update a form, FigsFlow creates a new version, and existing client requests stay on the version they started with.

Per client

Build every request around the client

Start with a proven template, then tailor it to what this client actually needs. AI highlights what may be relevant, while your team makes the final call.

Master template14 questions
  • Entity name, EIN and fiscal year end
  • Bank statements for the year
  • Rental income and property costs
  • Foreign accounts held during the year
  • Vehicle mileage log
  • Fixed asset additions and disposals

Your approved set. It does not change when one client request does.

Ridgeline Foods Inc.9 questions
  • Entity name, EIN and fiscal year end
  • Bank statements for the year
  • Rental income and property costsNot included ยท no rental income in the prior-year profile
  • Foreign accounts held during the yearNot included ยท no foreign accounts on record
  • Vehicle mileage logNot included ยท no vehicle claimed last year
  • Fixed asset additions and disposals
โœ•Suggest: skip rental section, no rental income last year

Import a template as a working copy, then add, remove, reorder or edit questions without changing the master. AI uses the prior-year profile to flag what may be relevant or unnecessary, your team decides what stays, date ranges can pre-fill from the job, and you can preview the exact client-facing request before sending. Live status

Who opened the link three days ago and still has not uploaded anything?

Every request carries a live status instead of a guess based on who replied last. Reminders even change their wording depending on whether the client never opened the link or opened it and stalled.

A firm-wide dashboard highlights overdue requests and shows whether the bottleneck is with the client, your team or processing. Automated reminders adapt to the client progress, and overdue requests can escalate to a senior manager. See live status tracking in a demo

Processing and review

From client submission to prep-ready information

AI processes and categorizes every submission, while your team stays in control of what gets approved.

81% confidence

Internal review

External verification

64% confidence

Processing error

Items scoring below the 70% threshold surface at the top of the review panel rather than sitting in the middle of it. If anything is missing, FigsFlow sends a targeted follow-up for only those items. Every AI decision, human override and review round stays on one permanent record. See the review workflow in a demo

The comparison

One secure link vs a six-message email thread

The comparison is not against another piece of software. It is against the spreadsheet nobody updates and the thread nobody can find again three weeks later.

The manual way
  • A checklist pasted into an email, re-sent when it is ignored
  • Did they send the K-1 yet, answered by scrolling an inbox
  • Attachments scattered across three inboxes
  • Re-sending the whole checklist to chase two missing items
  • A tracker spreadsheet someone has to remember to update
With FigsFlow
  • One request, one link, expiring on the due date
  • A live status on the record: opened, in progress, overdue
  • Documents filed automatically into the client SharePoint folder
  • A follow-up containing only the outstanding items
  • A dashboard that updates itself, exportable and schedulable

Storage

Where do the documents actually land?

Not in a FigsFlow-only inbox. In the SharePoint and OneDrive folders your team already has open, sent through the Outlook connection your firm already uses.

Microsoft 365

Your own tenant, under the policy your IT team has already set.

SharePoint

The master document repository. Files sync automatically via the Microsoft Graph API.

Outlook

Requests and reminders go out through the mail connection your firm already uses.

Submitted documents are named and filed with metadata against the client and the job, rather than dumped into a shared folder for someone to sort out later. Ask about your integrations in a demo

Founding customers

Built inside working firms, and open to a few more

FigsFlow is built inside working accounting practices, against real client work and real deadlines. The workflows came from partners running live deadlines, not from a product roadmap, and every module started as something a firm needed on a Tuesday.

Our founding customer program gives a small number of US firms early access and direct input into how this module develops.

  • A direct line to the product team, not a support queue
  • Your workflows shaped into the standard template library
  • A say in what the AI review panel surfaces first
  • Pricing locked for as long as you stay
Questions

The questions firms actually ask before signing up

Including the awkward one about what the AI is allowed to send without you.

No. Access is via a unique, tokenized link that works in any modern browser on desktop or mobile. There is no software to install and no account to create.

Until the due date you set, or 30 days by default if you do not set one. Each link is unique to one recipient, is invalidated the moment the form is submitted, and can be revoked by staff at any time.

No. Every AI-drafted email and every follow-up requires staff review, and no client-facing communication is generated or sent until a Client Manager has explicitly approved the review. That gate cannot be bypassed by any role.

No. It structures and categorizes the submission so review is faster and nothing gets missed. An Assignee reviews every item, a Client Manager approves, and low-confidence items surface at the top of the panel rather than hiding in the middle.

The system checks completeness before an item can be marked reviewed and blocks progress with a list of what is outstanding. Missing items become a targeted follow-up request containing only those items, not the whole form again.

Progress auto-saves at each step. They reopen the same link and resume where they stopped, until the link expires or the form is submitted.

In your own Microsoft 365 environment. SharePoint is the master repository, and documents sync there automatically with client and job metadata attached.

Ready to see it with your own client list?

Bring one real client. Watch their request get built in front of you. It is the fastest way to know whether this client information request software fits how your firm already collects documents.

Once every item in a request is approved, the workflow step advances on its own and the processed information lands in the next task panel, so your team starts preparation from structured data rather than a folder of attachments. See how jobs and workflow pick it up from there

Start Smarter. Grow Faster.

From proposals to pricing, streamline every step with automation designed particularly for accountants, bookkeepers and tax advisers.
