Meetings and scheduling

A client meeting that arrives already prepared

Clients book real time from your Outlook calendar. The invitation carries a Teams link and an agenda built from what is open on their file, and what you agree becomes tasks on the job, not a note in someone’s notebook.

How it works

Booked, prepared, and turned into work.

Every tool can book a slot. What makes scheduling worth having inside a practice system is what the meeting knows when it starts and what it leaves behind.

  1. The client books real availability

They pick a time from your live Outlook calendar, with notice periods and buffers already applied. No “does Thursday work?” emails.

  2. The meeting arrives with context

Because it is booked against a client, not an email address, the agenda shows open jobs, outstanding requests, the next deadline and anything awaiting signature.

  3. What you agree becomes work

Outcomes are recorded as tasks on a job, requests to the client or deals on the pipeline, each with an owner and a date.

Availability

Real Outlook availability, not a second calendar.

Availability is read from the Outlook calendar each person already keeps. Existing appointments, PTO and the meeting type’s buffers are removed before a slot is ever offered.

  • Times shown in the booker’s own zone: Eastern, Central, Mountain, Pacific, Alaska and Hawaii
  • Created in the adviser’s own calendar, so the client sees a name they recognize
  • Reminders set per meeting type, with the same cadence for every client
  • Clients reschedule or cancel from the same link, and it moves on the record
