Why firms connect their email

Client email that lives on the client

Most client conversations still happen by email. FigsFlow keeps them where the work is, so anyone picking up a client can read the whole story.

01Setup

Connect in minutes

Sign in with your Microsoft account, choose the mailboxes to connect and set simple filing rules. Nothing to install for clients.

02Shared

A shared inbox for accountants

The team sees each client’s correspondence on the record, within their permissions, without anyone sharing a password.

03Filing

Filed where it belongs

Emails from known contacts file to their client automatically. Anything unmatched waits for one click from you.

FigsFlow and Outlook together

Less forwarding, more finished work

01

No more forwarding

File client email from Outlook in one click

Read an email in Outlook and file it to the right client without leaving your inbox. It appears on the client record for everyone who needs it.

  • Work where your email already lives
  • One place for every client conversation
  • Handovers without forwarding chains
02

Attachments become documents

Attachments saved to the client’s documents

Statements, receipts and signed forms that arrive by email are saved to the client’s documents, and to SharePoint when it is connected.

  • No downloading and re-uploading
  • The right folder, named consistently
  • Linked back to the email it came with
03

Email to action

Turn an email into work

Create a task from an email, or link it to the job it belongs to, so a client’s request never sits in one person’s inbox.

  • Tasks carry the email with them
  • Jobs show the conversation behind them
  • Nothing depends on one inbox
04

Consistent replies

Templates that sound like your firm

Send from FigsFlow with your firm’s own templates. Replies thread back to the client record automatically.

  • Firm templates for common requests
  • Replies filed without anyone filing them
  • A full history for every client

FAQ

Questions about email in FigsFlow

Which email providers does FigsFlow work with?

Outlook and Microsoft 365 today. Other providers vary by country, so check the availability page for what is live where your firm is based.

Does FigsFlow see every email in our mailboxes?

Only the mailboxes you connect, and only emails matched to a client or filed by your team appear on client records.

What happened to the Outlook integration page?

The Email page replaces the old Outlook integration page. The same Outlook connection is described here, with filing, attachments and tasks in one place.

Can clients see filed emails?

No. Filed email is internal to your firm. Clients message you through the client portal, which is designed for them.
