Onboarding suite · FigsFlow Global

Client onboarding software for accountants from first enquiry to signed letter, with the work already started.

FigsFlow's onboarding suite is client onboarding software for accounting firms worldwide. Pricing, proposals, engagement letters and e-signature run as one flow on one record: the fee you price is the fee the client accepts, the letter carries it, and the signature opens the first jobs. Nothing is retyped between steps.

The problem

Nobody chose to type the client's name five times. The tools chose it for them.

Tuesday. A new client accepts on a call.

The manager writes the fee into a proposal template, saves it as a PDF and emails it. The client signs a different file in a signing tool. Someone copies the scope into a letter, and a week later someone else sets up the jobs from memory — without the payroll the client added at the last minute.

Nobody missed a step on purpose. Five tools each held a piece, and the gaps between them were filled by hand.

Where the suite sits

One onboarding record, six stages, nothing retyped

An enquiry becomes a price, a proposal, a letter, a signature and the first jobs — the same record throughout. Each stage below is run by a module you can open on its own page.

  1. 01 Enquiry
  2. 02 Price
  3. 03 Proposal
  4. 04 Engagement letter
  5. 05 E-signature
  6. 06 First jobs

Side branch between proposal and letter:AML and client due diligence UK only

One record, carried forward

The contact and the deal are created together at the enquiry, and every stage after that writes back to the same record. The fee you price is the fee the client accepts. The accepted fee is the fee the letter carries. The signature opens the jobs. Nothing is retyped, because there is no second system to retype it into.

Your ledger and tax software do the returns. FigsFlow runs everything around them.

Four stations

One flow, four modules, the firm's own rules at each step

Station 1

The price comes from your own rate card.

Fixed, variable or value-based per service, with tiers the client chooses between. A minimum fee and approval limits catch a discount before it is sent, and every line carries its reason. The priced quote becomes the proposal without being rebuilt.

You set the rates, the floors and who approves.

Station 2

The client opens one proposal and accepts it.

The client compares packages online and accepts. The accepted selection freezes, dated and attributed, so the fee that reaches the letter and the invoice is the fee they agreed. One proposal can cover a client group, with each entity handled separately.

You choose the services, the packages and what the client may change.

Station 3

The letter assembles itself, then waits for the right person.

On acceptance the engagement letter assembles from your clause library, varied by entity type and service, carrying the accepted fee. Drafting and review are gated by role, so a letter can be held until a named reviewer approves it. Every version stays on the audit trail.

You own the clauses and decide who must approve before a letter goes out.

Station 4

The signature starts the work.

The client signs on any device with no account to create; proposal and letter can go as one pack, signed once. On signature the fee freezes, reminders stop, the deal moves to won and the first jobs open from your templates with your dates. The signed pack files to the client record and your SharePoint.

You choose the job templates and the dates.

Works with your stack

Short list, honestly labelled

The suite connects to the things a firm touches while taking a client on — the mailbox, the documents and the website form. The rest of this fold is what is not connected, because finding that out in month two is worse than reading it now.

FAQ

Questions about client onboarding software

What does the onboarding suite cover?

Pricing, proposals, engagement letters and e-signature as one flow, from the first enquiry to the first jobs.

Does it work in my country?

The whole flow works everywhere. You configure the currency, clauses and templates. AML and client due diligence are UK only. See what's live in each country.

Which currencies can I price and propose in?

USD by default, plus the currencies listed on the availability page.

Can I use my own terms, prices and letter wording?

Yes. Services, rates, clauses and job templates are all your firm's own.

Can I use just one part — say, only proposals?

Yes. Each module works on its own and joins the flow when you switch it on.

What happens once the client signs?

The fee freezes, reminders stop, the deal is won, the first jobs open from your templates and the signed pack is filed.
