Appointment scheduling for accountants without the back-and-forth

Clients and prospects book time that suits both sides, straight from a link, a proposal or the portal. Meetings land in your calendar and on the client record, with notes and follow-ups attached.

  • Booking links for each meeting type
  • Synced with your calendar
  • Notes on the client record

The problem

Five emails to book one meeting

Finding a time, sending a link, chasing an agenda and writing up notes takes longer than the meeting itself, and the notes rarely reach the client record.

Booking by email

  • Rounds of “does Tuesday work?”
  • Clients arrive without what you need
  • Notes stay in a notebook or one inbox
  • Follow-ups depend on memory

Booking in FigsFlow

  • Clients pick a free slot from a link
  • The agenda and requests go out beforehand
  • Notes save to the client record
  • Follow-up tasks created from the meeting

How it works

From link to follow-up

  1. Set up

Create meeting types with length, location, buffer time and who can host.

  2. Share

Send a booking link, add it to a proposal, or show it in the client portal.

  3. Meet

Both sides get reminders. The agenda and any requests are attached.

  4. Follow up

Notes save to the client record and follow-up tasks go to the right person.

What you get

Client booking software for accounting firms

Scheduling that knows who the client is and what the meeting is for.

01

Meeting types

Discovery calls, year-end reviews and planning sessions, each with its own rules.

02

Calendar sync

Availability comes from your existing calendar, so nothing is double booked.

03

Team scheduling

Route new enquiries to whoever is free, or keep a client with their usual contact.

04

Reminders

Reminders by email or text reduce no-shows without anyone sending them.

05

Notes on the record

Meeting notes sit on the client record, visible to the client team.

06

Time zones handled

Slots show in the client’s own time zone, wherever they are.

A meeting, on the record

Every meeting leaves a trail of work

A discovery call can create an enquiry. A review meeting can create the follow-up task and update the job. Nothing said in the meeting is lost in a notebook.

FAQ

Questions firms ask us

Which calendars does scheduling work with?

Availability is read from the calendar you connect, such as Outlook through Microsoft 365, so booked time is never offered twice.

Do prospects need a portal account to book?

No. Anyone with the link can book. When the person is already a client, the meeting is linked to their record automatically.

Can bookings go to different team members?

Yes. Booking can route to whoever is free, or stay with the client's usual contact.

Does it handle clients in other time zones?

Yes. Slots are shown in the client's own time zone.
