One client record, from first contact to paid invoice

Six handovers that used to be six jobs for you. Each step reads from the one before it, so nothing is copied, retyped or remembered.

  1. Contact details, the services they asked about and your notes land on one record. Everything after this reads from it.

  2. Pick services from your library and each price resolves from your rate card. Offer options if you like; the client chooses.

  3. Same record, same services, same fee, drawn from your own clause library. No old file to copy from.

  4. E-signature on the letter from any device. The signed copy is stored on the client record, with who signed and when.

  5. Jobs open against the deadlines you set for that client. Records requests go out through the portal and reminders are scheduled.

  6. The invoice comes from the fee already agreed, with a payment link so the client can pay online.

Your ledger and tax software do the returns. FigsFlow runs everything around them.

Can I send a proposal without starting from a blank page?

Pick services from your own library and the price resolves from your own rates, so a new quote takes minutes, not an evening. The client compares options and accepts online, and the accepted fee is fixed on the record.

Does the engagement letter really write itself?

It assembles from the accepted proposal: same services, same fee, same client details, pulled from your own clause library. Nothing is copied from last year's file, so nothing stale slips through. You send it for e-signature from the same screen.

You control the wording, the version in use and which clauses apply.

Engagement letters

Can clients send me their records without my chasing?

Requests go out through the client portal with the list of what you need. If nothing arrives, reminders follow on the schedule you set, and the job shows what's still missing. Clients upload from their phone or laptop.

You choose what to ask for, when reminders go and when to step in yourself.

Forms and requests

Will I remember to invoice when the work is done?

You don't need to. Closing a job raises the invoice from the fee already agreed, and the client can pay online. Your ledger stays your ledger; FigsFlow can sync invoices to it.

What sole practitioners ask before they switch

Do I need practice management software if I work on my own?

If admin is taking hours you could bill, yes. For a firm of one the point isn't managing a team; it's doing fewer jobs by hand. Proposals, engagement letters, reminders and invoices all come from one client record, so each becomes a step you approve rather than an evening you lose.

Is this going to be too much system for one person?

You switch on the parts you use. Team features stay out of the way until you hire, and nothing you set up now has to be redone when you do.

How long does setup take?

Most of the setup is three things you already have: your engagement letter, your list of services and prices, and your client list. You set the pace, and there is no implementation project.

Does FigsFlow work in my country?

The core of FigsFlow runs anywhere: client records, proposals and pricing, engagement letters, e-signature on firm documents, jobs, reminders, the client portal and invoicing. You set your own currency, tax year, deadline dates and letter terms. AML and client due diligence are available in the UK only. The availability page lists what is live in each country.

Which currencies can I quote and invoice in?

Proposals and invoices show US dollars by default, and you can set your firm's own currency. Tell us the currency you work in when you book a demo and we will confirm it on screen.

What happens when I take on my first employee?

Add a user. The same client records, templates and history carry on, and team features switch on as you need them. The small firms page shows what changes as you grow.
