Practice workflow where no T2 goes out half-checked

FigsFlow is accounting job management software for Canadian firms. It runs your recurring engagements โ€” compilations, review engagements, T1 and T2 returns, GST/HST filings โ€” as jobs, tasks and sub-tasks. A task stays open until every check beneath it is done, and a job canโ€™t move to filed until the review set by its service template is signed off. The rules hold as firmly on April 30 as in a quiet week in August.

A green checkmark doesnโ€™t prove the review engagement was actually completed

Someone checked off the step. That shows a checkbox changed, not that receivables were agreed to the aged listing, the CSRE 2400 procedures were documented, or last yearโ€™s comparative figures were checked. So you walk over and ask. The answer is yes, honestly given, and neither of you can confirm it without opening the working papers.

Job, task, sub-task. Nothing deeper.

Each level has one accountable person. Stage is a property of the job, not another layer with its own owner.

01

Job

A single engagement you deliver, such as a clientโ€™s year-end compilation and T2 return.

Engagement manager
02

Task

A piece of work one person is responsible for finishing.

Staff accountant
03

Sub-task

A specific check within a task, such as receivables to the aged listing or cash to the bank reconciliation.

Assignee
Stage A property of the job rather than a level. It has no owner; its status and due date come from the tasks it contains.
  1. Engagement letter signed
  2. Job created from the service template
  3. Tasks generated
  4. Sub-tasks generated
  5. Review
  6. Filed

Plenty of practice software stacks four or five levels, each with its own owner. Thatโ€™s how a stage sits at 80% for weeks while nobody owns the last 20%.

When is a task โ€œdoneโ€ in FigsFlow?

Only when every sub-task beneath it is finished, and a stage only when every task in it is. The rule lives in the software rather than in your quality management manual, and no one can override it โ€” a sign-off rule with exceptions isnโ€™t really a rule.

Whatโ€™s holding this task up?

A task can be blocked by another, block one, or simply be linked to it. While blocked, it stays in view and people can keep working on it, but nobody can mark it complete. Once the blocking task is done, whoever was waiting hears about it automatically.

What did the reviewer actually find?

Sign-off starts with one question for the reviewer: was the file free of errors? If it wasnโ€™t, each error gets a type โ€” clerical, computational, omission, incorrect treatment, source data, compliance or blunder โ€” along with the area affected and how it was fixed. Sign-off stays locked until thatโ€™s done.

Logging a blunder sends an immediate alert to the staff memberโ€™s supervisor, and it canโ€™t be switched off.

Manager review1.5h est ยท 1.4h actual
30% over budgetThe engagement manager sees it today, not at invoicing. Actual hours stay on the job record.

Where did the hours go?

Each task has budgeted hours and a timer. Once actual time runs more than 20% over budget (the default threshold), the task turns amber for the engagement manager while thereโ€™s still room to act, not when the invoice is being drafted. Those actuals stay on the job, so next seasonโ€™s budget can start from real numbers.

Checking a box, or enforcing a sign-off

Any practice tool can record that work was done. What sets them apart is what happens when someone closes a step that isnโ€™t finished.

Columns describe two common kinds of practice software, not any one product. Features vary by product and plan.

Most practice software records that a step was done. An enforced sign-off wonโ€™t let the file move on until itโ€™s done โ€” and a practice inspection is where you find out which one you had.

“I found the ad hoc LOE templates especially helpful, since most software only covers standard engagements. … Once it’s set up, it pretty much runs on its own.”

Asked before every rollout

Can a manager override a completion gate?

No. A task cannot be marked complete while a sub-task is open, and the system does not offer an override. What is open has to be finished, or formally cancelled with a recorded reason โ€” and cancellation is an audited action, not a quiet dismissal.

Can the person who did the work approve it?

Not where the service template requires review. Self-approval is refused, which is the point of having the template define the review in the first place.

Can we add tasks that are not in the template?

Yes, at any time, with a note explaining why it was added outside the template. Those notes are worth reading โ€” they usually tell you the template is wrong.

What happens if a task is blocked?

It stays visible and workable but cannot be marked complete. When the blocker clears, the person waiting is notified rather than having to check.

Does the error classification go on someone's record?

It attaches to the job, not to a personnel file. The classification sits on the review record with the area of work and the corrective action, and the only automatic escalation is the blunder notification to the assignee's supervisor. What a firm does with a pattern after that is a management decision, not one the software makes for you.

Can two people share a task?

Yes. All assignees are notified, and either all confirm done or one designated primary marks it complete for the group.
