Figs Flow Canada

For firms of 50 people or more

Multiple offices, multiple service lines, one platform.

FigsFlow is practice management software for larger Canadian CPA firms. Firm-wide workflow, multi-office dashboards, capacity planning, FINTRAC records and CRA deadline tracking run from one platform, with the permissions, audit trail and reporting a firm of fifty or more needs.

The controls a firm this size needs, without the implementation project a firm this size dreads.

A working session for your operations lead and a partner, built around your own offices and service lines.

The eight controls that come up in every procurement review

Not a longer feature list. These are the things operations, risk and IT ask about once a firm passes fifty seats.

The problem

Past fifty seats, the hard part stops being the work and becomes the view

A smaller firm can keep the week in one person’s head. A firm of fifty or more can’t, so the questions change: who is allowed to see what, which office is over-committed, and whether anyone can show what actually happened on a file. Those are visibility and evidence problems, not technical ones.

Open-plan accounting office with rows of desks, staff working at laptops and monitors
Every office, one view
  1. 01Capacity

Workload is estimated office by office

Each office head plans their own team, so pressure in one location stays invisible to the others until a deadline is already at risk.

With FigsFlowCommitted work is read against real availability across all offices on team and capacity, so files move while there’s still time.

  2. 02Standards

Each office drifts into its own method

Nobody decided it should happen. Local habits simply harden into local processes, and quality varies by postal code.

With FigsFlowService lines run on firm-approved workflow templates with their own stages and reviews, so local judgement stays and the standard holds.

  3. 03Evidence

No one can show who approved what

When a regulator, insurer or practice inspector asks, the answer is pieced together from inboxes and memory.

With FigsFlowApprovals, edits and identity checks are logged as they happen on one audit trail, so a file review becomes a search.

On FINTRAC: accounting firms are reporting entities only when they carry out triggering activities, such as receiving or paying funds, buying or selling securities, real property or business entities, transferring funds, or giving instructions about any of these. FigsFlow supports your compliance program and keeps the records; it doesn’t file reports with FINTRAC and doesn’t make a firm compliant on its own.

How FigsFlow works

One set of records under every office and service line

At this size, FigsFlow is less about a single client file and more about every office writing to the same records. Each inquiry is routed to the right office, priced within the approval limits you set, checked for identity, engaged on firm-approved clauses, delivered on a service-line template and invoiced at the agreed fee, with every decision logged on the way.

One record, every office
  1. 01
Inquiries land in the right office.

Routing rules send new work to the office and service line that owns it, with a named owner from day one.

  2. 02
    Pricing stays inside approval limits.

Office leads quote from the firm’s price list; anything below the floor routes to whoever you’ve authorized.

  3. 03
    Identity is checked before engagement.

Client identification and risk details sit on the file, supporting your FINTRAC compliance program where it applies.

  4. 04
Letters use clauses your risk partner controls.

No office edits a clause locally; changes go through whoever owns the library.

  5. 05
Work runs on the service-line template.

Jobs, CRA deadlines and reviewers are set by the template for that line, in every office.

  6. 06
Recovery is read without a month-end export.

Time against fee, by office and line, while the work is still open, then invoiced at the agreed amount.

Connected, not replaced

It fits around the systems your IT team already governs

A firm this size has systems it isn’t going to rip out, and FigsFlow is built for that. Microsoft 365 keeps handling sign-in and mail, SharePoint stays the home of your documents under your own retention rules, the ledgers stay in Xero or QuickBooks Online, and anything else connects through the API. FigsFlow becomes the place where work, deadlines and approvals are tracked.

Pricing

How a firm of fifty or more is priced

Larger firms are quoted once on Enterprise, built from the same per-seat list prices everyone else pays: C$79 a month for each of the first ten seats and C$105 for every seat after that, billed annually, plus GST/HST. Enterprise then adds single sign-on, custom roles and a named success manager, and multi-firm groups can run several workspaces under one agreement. There is no implementation fee.

Your numbers

What does running offices on separate systems cost each year?

At fifty seats and more, two costs tend to dominate: partner time spent reconciling and re-reviewing work across offices, and fees written off because a file ran past its quote without anyone seeing it. Enter your own figures and the model below adds them up for a year.

Two accountants working together at a laptop with a calculator and client papers
Partner time, counted

Annual cost at your figures

Partner time
C$138,000
Write-offs
C$150,000

C$288,000a year, before any change

How this is worked out

Partner time = hours a week × rate × 46 working weeks. Write-offs = files a year × average write-off. Nothing else is in the model, and it makes no assumption about how much of this FigsFlow would remove.

Rollout

How a firm of fifty or more rolls it out

Larger firms don’t switch everything on at once. The pattern that works is a pilot in one office and one service line, then firm-wide templates and approval limits, then the remaining offices with the current system still running alongside, and finally cross-office capacity and reporting once real data is flowing.

We agree the timeline with you after the pilot, not before. How long each office takes depends on its service mix and how much history it wants to move, and we’d rather tell you that honestly than quote a go-live date on the first call.

FAQ

What larger firms ask before they commit

01

Can each office see only its own clients?

Yes. Permissions are set by office and role, so staff see the clients and jobs they work on, while partners and operations leads can see across the firm. On Enterprise you can define custom roles to match how your firm is actually organized.

02

Do you support single sign-on?

Single sign-on is part of Enterprise, which is available from 25 seats. Your IT team can review the setup and the access scopes before anything goes live.

03

Can tax, assurance and CAS run different processes?

Yes. Each service line has its own workflow templates, stages and reviewers. The firm controls which variants are approved, so offices can follow a line’s method without inventing their own.

04

How do we migrate without disrupting busy season?

Office by office, starting with a pilot, with your current system running alongside until each office is ready. We carry out the migration, and we’ll plan the sequence around your T1 and T2 peaks rather than through them.

05

How is a firm our size priced?

Enterprise is quoted once, built from the same list prices as the Practice Suite: C$79 per seat per month for the first ten seats and C$105 for each seat after that, billed annually, plus GST/HST. There’s no implementation fee.

06

What can we show a practice inspector or insurer?

The audit trail records approvals, edits and identity checks as they happen, with who did them and when. A file review becomes a search across that record rather than a reconstruction from email.

07

Where does FINTRAC fit?

FigsFlow keeps client identification, risk assessments and reviews on the client file to support your firm’s FINTRAC compliance program. Accounting firms are reporting entities only when they carry out triggering activities. FigsFlow doesn’t file reports with FINTRAC and doesn’t make a firm compliant on its own.
