Figs Flow Canada

For firms of 10 to 50

The firm that outgrew its spreadsheets last year.

FigsFlow is practice management software for growing Canadian CPA firms of 10 to 50 people. Workflow, team capacity, client onboarding, CRA deadline tracking and the records behind your FINTRAC compliance program all run from one platform, so a bigger team stays coordinated without adding another layer of management.

Firm-wide templates, partner sign-off checkpoints and a live view of everyone’s workload, so each new hire follows the firm’s method from their very first file.

We walk through your own engagements on a shared screen, not a canned script.

The problem

What worked at eight people breaks at eighteen

Most growing Canadian firms don’t lack software. They have a way of working that lived with two or three founders, then hired another dozen people. The technical work is still good, but each person does it slightly differently, and the cost turns up as partner review hours, written-off time and engagement letters that no longer match the work.

It rarely starts with a single bad day. It starts when the firm can no longer fit around one table.

The senior partner becomes the checkpoint for everything, because only they know which version of the T2 checklist is current, so the review queue moves after the kids are in bed. The fee agreed in a hallway conversation never reaches the letter, and nobody spots it until the client queries the invoice.

And when the manager who tracked every GST/HST filing in their own calendar moves on, the dates leave with them.

None of this is a skills problem. It’s what happens when a firm grows faster than its method gets written down.

  1. 01Visibility

The work lives in people’s heads

Who has which T2, what’s waiting on the client, what’s stuck in review: you find out by asking around.

Every job gets an owner, steps and a status on one board. Jobs and workflow

  2. 02Capacity

    Workload is guessed, not seen

The same two people carry every T1 season and every rushed year end, and it only shows once deadlines slip.

See each person’s load before the season, not halfway through. Team and capacity

  3. 03Consistency

Each partner onboards their own way

Different fee logic, different letter wording, a different first impression depending on who took the call.

One pricing engine and one clause library for the whole firm. Onboarding suite

  4. 04Margin

    Fixed fees slide underwater quietly

Time runs past the agreed fee and nobody notices until year-end write-offs.

Time against the agreed fee, per client and per job, as it happens. Reporting

How it works

From first inquiry to paid invoice, on one client file

In FigsFlow, each client is a single file from the moment they get in touch. A new inquiry is quoted using the firm’s own pricing rules; once the client says yes, that same quote drives the engagement letter; a signature sets up the jobs and CRA deadlines; and closing out the work generates the invoice. No one re-keys anything between steps.

  1. 01
    A prospect gets in touch.

Whether it arrives by web form, referral or email, it’s logged as a file with an owner and a next action straight away.

  2. 02
The proposal goes out at the firm’s price.

The pricing engine does the maths, and quotes below the minimum you set need a partner’s approval.

  3. 03
    Client identification happens first.

Identity and risk details are recorded on the file before the letter is sent, supporting your FINTRAC compliance program where it applies.

  4. 04
    The engagement letter writes itself.

Built from the services the client accepted, using clauses your partners have approved.

  5. 05
    Signing sets up the work.

Jobs are created from your templates, CRA deadlines are loaded, staff are assigned and the client portal opens.

  6. 06
Closing the job raises the invoice.

Time is tracked against the job and billed at the agreed fee, with a payment link included.

Six handoffs, one file, nothing keyed in twice. Tour the whole platform

Connects, doesn’t replace

Built to sit on top of the tools you already rely on

FigsFlow connects to the systems a growing Canadian firm already uses instead of replacing them. Your team keeps emailing from Outlook, client files remain in the firm’s SharePoint or OneDrive, and bookkeeping continues in Xero or QuickBooks Online. You add the coordination layer that was missing and keep everything that already works.

Pricing

What a firm of 10 to 50 pays, and what’s available today

On an annual plan, the FigsFlow Practice Suite costs C$79 a month per seat for the first ten seats and C$105 a month for every seat beyond that, plus GST/HST. Firms above ten people get Advanced Pricing at no extra charge, nobody pays a setup fee, and firms of 25 or more can move to Enterprise for SSO, tailored user roles and a dedicated success manager. Adding an eleventh person never changes the rate on the first ten.

Adoption

The order growing firms set things up in

At 10 to 50 people, getting consistent is genuine work, because you’re putting decisions in writing that nobody has written down before. The sequence that tends to stick: template your busiest three services, add review checkpoints to them, bring clients and CRA deadlines across, then switch on capacity planning. Most of the effort goes into agreeing the firm’s method, not into setting up the software.

  1. 01

    Template your three busiest services

Usually T1 returns, T2 year ends and bookkeeping. Steps, default owners and the documents each stage needs.

    Setting up
    Agreeing
  2. 02

Add review checkpoints to those three

Who reviews, against which checklist, and what happens to a file that’s sent back. This is the step that gives partners their evenings back.

    Setting up
    Agreeing
  3. 03

Bring clients and CRA deadlines across

Start with this quarter’s filings. Prior years are better migrated once the team is comfortable.

    Setting up
    Agreeing
  4. 04

Turn on capacity once there’s real data

After a month of actual time and jobs, workload planning starts to mean something.

    Setting up
    Agreeing

The software side takes days. Agreeing how the firm wants to work takes longer, and only your partners can do it.

Firms that try to template every service in one go tend to stall. Firms that start with three and use them straight away keep moving. This is an order of work, not a schedule: the bars show the share of effort, not weeks, and we won’t promise a go-live date before we’ve seen your services.

FAQ

Questions growing firms ask us

01

Will it scale from 10 to 50 people without a second implementation?

Yes. It’s one platform at every size, with the same client file, templates and workflow. From 25 people, Enterprise layers SSO, tailored user roles and a dedicated success manager onto the system you already use, with nothing to migrate.

02

How do we get staff who all work differently onto one method?

You set up a workflow template for each service: the steps, the default owner for each one and the documents attached at each stage. Every new job of that type is created from the template, so the method is the same whoever picks the file up. When the template changes, every job created after that follows the new version.

03

How do review checkpoints work, and who signs off?

Each job moves from preparer to reviewer with a checklist attached. Anything the reviewer finds is recorded and sent back rather than quietly fixed, so you can see which issues keep recurring. Services that need partner sign-off get an extra checkpoint, and a job can’t be closed while any item is still open.

04

How do we see capacity before T1 season?

Jobs carry owners and dates from your templates, so each person’s load for the season shows up in advance. Managers can rebalance work in January and February instead of discovering the overload in April.

05

How is it priced as we grow?

Your first ten people are always on the small-practice rate of C$79 per person, per month, billed annually; each person after that is C$105, plus GST/HST. Adding an eleventh person never reprices the first ten, and from 25 people Enterprise is quoted once from the same prices.

06

What does FigsFlow do for FINTRAC?

FigsFlow helps you keep the records behind your FINTRAC compliance program: client identification, risk assessments and periodic reviews, with an audit trail your firm controls. Accountants are only reporting entities when they carry out triggering activities, such as receiving or paying funds, or giving instructions about them. FigsFlow doesn’t file reports with FINTRAC and doesn’t make a firm compliant on its own.

07

Will you help us move off our current tools?

Yes. We carry out the migration from your current tools, and unused months on your existing contract are credited against your first year, up to six months.
