Serving a non-resident landlord can be quite an uncomfortable experience. The tax work is still carried out in the UK, but the information needed to complete it may need to come from a client who is asleep when you’re working.
For UK Property Accountants, which serves property clients across more than 60 countries, we needed a way to keep all our engagements moving without making every document, question and signature dependent on a live conversation. We needed a client-facing workflow where the client could see what was required, provide information, sign documents and track outstanding actions without waiting for someone in our office to be available.
FigsFlow Gave Us That Workflow
- Client Portal - Firm-branded, mobile-first, plain English. The client sees the person looking after their affairs at the top of every screen. They see one short list of things to do at any moment.
- Client Mobile App - The link arrives by email or SMS and opens on the phone. 44px touch targets. Photo upload uses the phone camera with automatic edge cropping. Files land in our own SharePoint filed against the client record.
- Firm Target Date - The portal never shows a client a raw statutory deadline. Statutory dates are our concern, not theirs. The client sees the target date our workflow is running to. This one design decision has changed the tone of every deadline conversation we have.
- Forms and Information Requests - Every request tracked from sent to reviewed. The system will not let us ask twice.
- E-signature and Approvals - Engagement letters and returns signed with a thumb from the back of a car. Signed letters file automatically to the client record with the full audit trail — IP, device, timestamp.
- Workflow Templates - Recurring jobs for NRL clients, like self-assessment tax return, NRL confirmation or now, MTD quarterly updates, auto-generate at the start of the tax year. The whole tax year is a set of dated jobs on day one, not something a manager builds in March.
- Jobs, Tasks and Deadlines. Your entire team looks at the same job board with the same next actions. Handover between time zones has stopped being a separate process.
The Plain-English Feature Changes the Client Tone
The single most important design decision in the client-facing module of FigsFlow, for a firm with a non-resident-heavy book, is that the portal speaks plain English only.
This is not a stylistic choice. It is what makes the client respond in hours rather than days, because the ask makes sense to them.
Conclusion
If your client onboarding involves six emails to gather three pieces of information, if your signature chases stretch over a week, if your non-resident clients respond to you when they get around to it rather than when you need them to, and if you are now staring at MTD and wondering how you will handle four quarterly updates, FigsFlow is the answer.
