Practice management · United Kingdom
Everything your practice runs on, on one client record.
Twenty-six parts of a firm, and one place they all write to. Enquiry to payment, with AML and identity checks inside the engagement flow rather than in a separate tool you have to remember to open.
- Built by UK Property Accountants and Sterling Wells
- AML and identity checks run inside the engagement flow
- Your documents stay in your own SharePoint
The spine
Eight steps. One record. Nothing rekeyed.
The record created at enquiry becomes the proposal, the compliance file, the jobs and the invoice. If a feature forces the same information into two places, the feature is reworked.
- 1Enquiry capturedLands in the CRM. Companies House fills the company details.
- 2Proposal draftedService library and pricing engine, scoped against real work.
- 3KYC and AML runIdentity from the client’s phone. Screening automatic. EDD if high risk.
- 4Letter signedDigital signature. Jobs create themselves from the agreed services.
- 5Work deliveredTasks, time, review and sign-off. Kanban, workload, deadline radar.
- 6Client plays their partApprovals, signatures, uploads — in plain English throughout.
- 7Fee collectedInvoice from the agreed fee and recorded time. Recurring cycles run alone.
- 8Renewal or closeProposals roll forward. Disengagement closes the file, history intact.
The scope you agreed is the scope your team delivers against.
What is in it
Six groups. Twenty-six parts. One record underneath.
Competitors sell a stage — a CRM, a proposal tool, an AML checker, a workflow manager. Each of these is a stage of the same lifecycle, not a separate product you connect to the others.
01 · Front of practice
Win the work
Pricing lives with the engagement, not in a proposal PDF nobody reopens.
02 · Compliance by design
Onboard without leaving the flow
AML, KYC and risk sit inside onboarding. The compliant path is the default path.
- Onboarding suiteOne path from accepted proposal to open client file.
- AML and client due diligenceIdentity from the client’s phone. Screening files to the record.
- Risk assessment and scoringRisk rating recorded against the client, with the reasoning.
- Audit trailWho, what, when — readable, filterable, immutable.
03 · Delivery
Run the work
Jobs that build themselves at signature, so nobody asks who started the year-end accounts.
- Jobs, tasks and deadlinesKanban, workload and a deadline radar that reads at a glance.
- Workflow templatesThe way your best preparer works, applied to every job.
- Timesheets and billingTime logged against the job that was scoped and sold.
- Team and capacityWho is free, who is full, before January decides for you.
- Practice dashboardFour KPIs, the deadline radar and what needs your decision.
04 · Client facing
Work with clients
One question at a time, in plain English, with a confirmation after every step.
- Client portalYour firm’s brand, your client’s language, one short list to do.
- Client mobile appThe link arrives by email or SMS and opens on a phone.
- Forms and requestsEvery request tracked from sent to reviewed. Never asked twice.
- E-signature and approvalsLetters come back signed without a phone call.
- Documents in your SharePointFiled to the right client and job. Preview inline, no download.
05 · United Kingdom
Filings and deadlines, modelled properly
HMRC and Companies House are first-class concepts in the record, not a calendar you keep by hand.
06 · Connected and assistive
Your stack, and a drafting hand
AI drafts it. A person still signs it, and every AI-assisted action is labelled as such.
- EmailOutlook, not a copy of Outlook. Threads file to the client.
- Meetings and schedulingBooked against the job, with the notes on the record.
- API and webhooksFor the one system your firm will not give up.
- AI assistantDrafts can be edited or discarded. The practitioner is in charge.
- Reporting and analyticsEvery chart readable in greyscale, every figure tabular.
The mode system
One platform, two languages.
Every screen belongs to exactly one surface. The surface decides the vocabulary, the brand shown and the density — and a screen never mixes the two.
Surface A · Firm-facing app
Practitioner language
Job, task, AML, engagement letter, capacity, WIP. High density: tables, bulk actions, saved filters, keyboard shortcuts.
Surface B · Client portal
Plain English only
Your firm’s logo, colour and name. Mobile first, 44px targets, one short list of things to do, one question at a time.
The vocabulary map — internal term to client term
| In the firm app | On the client portal |
|---|---|
| Job / task | Your work · things we’re doing for you |
| In progress 45% / awaiting review | In preparation · in manager review · ready for your approval |
| KYC / AML / compliance check | Confirming your identity |
| Statutory deadline | The firm’s target date — statutory dates are never shown raw |
| Client manager / job manager | The person looking after your affairs — real name, real face |
Making Tax Digital for Income Tax
Four cumulative updates, then the final declaration.
MTD for Income Tax replaces one annual Self Assessment return with four cumulative quarterly updates plus a final declaration. Updates are cumulative — a correction rolls into the next update and nothing is reopened.
| Update | Standard quarter | Calendar election | Deadline |
|---|---|---|---|
| Q1 | 6 April – 5 July | 1 April – 30 June | 7 August |
| Q2 | 6 July – 5 October | 1 July – 30 September | 7 November |
| Q3 | 6 October – 5 January | 1 October – 31 December | 7 February |
| Q4 | 6 January – 5 April | 1 January – 31 March | 7 May |
April 2026
Income over £50,000
Sole traders and landlords over £50,000 qualifying income are in MTD for Income Tax now.
April 2027
Income over £30,000
The second wave. Plan your onboarding capacity around it.
April 2028
Income over £20,000
Announced extension. Treated as announced, not law, until enacted.
Foreign and non-resident clients are modelled from day one. Overseas property income is held in its source currency with the FX rate, source and date, and converts to GBP for reporting. Non-resident landlord status, the remittance basis and double taxation relief are fields on the record, not free-text notes. FigsFlow maps the data to the right schedule — SA105 for UK property, SA106 for foreign — and your firm’s professional judgement applies the treatment.
These facts are reviewed each April against current HMRC guidance, and whenever HMRC announces a change.

Getting on it
Start where the fire already is.
01
Start with deadlines and client requests — the part that is already on fire.
02
Add proposals and engagement letters the next time you re-sign a client.
03
Turn on timesheets and billing after 31 January, not during it.
There is no phase two you have to survive.
Straight answer
What we do not claim.
- 01
FigsFlow evidences and assists your AML and client due diligence work. It does not keep you compliant — your firm remains responsible for that, and we will not say otherwise.
- 02
The AI drafts and suggests. It never advises. Every AI-assisted action is labelled, every draft can be edited or discarded, and a person signs the work.
- 03
We model the data and map it to the right schedule. The treatment is your professional judgement, and a missing or stale FX rate blocks submission rather than guessing.
- 04
FigsFlow is software for practices. We do not sell accountancy or tax services, and we do not compete with the firms we serve.
See it run on one client, end to end.
Thirty minutes with someone who has worked in a practice, not a script. Bring your messiest client.
