E-sign engagement letters, from inside the letter

FigsFlow lets you e-sign engagement letters without leaving the letter. Generate it from the accepted proposal, send one or four hundred, let the client sign on a phone with no account to create, and file the signed copy, the certificate and the full audit trail straight to the client record.

Send a letter to your own phone and watch it come back. About four minutes.

Watch one letter get signed

Ninety seconds, start to finish. Generate the letter from the accepted proposal, send it, sign it on a phone, and watch it land back on the client record. This is what it looks like to e-sign engagement letters without ever leaving the letter — no narration about transformation, just the thing happening.

●PROBLEM · THE WAIT

The letter goes out,
and then nothing happens

You attach the engagement letter to an email and wait. One client prints it, signs it, photographs it at an angle and sends back something you cannot file. Two forget entirely. You chase, politely, twice.

Three weeks on, the work has already started and the letter is still unsigned — which nobody mentions until the day it matters.

What you can do with it
Not much. It is a photograph of a page, and you still cannot prove when it was signed.

Where it sits

Between the letter and the first job

Signing is the moment the engagement letter stops being a draft and the work becomes chargeable. Everything before it is the proposal and the letter. Everything after it is the AML check, the first data request and the opening job.

And what else it signs

The engagement letter is the one that matters most. It is not the only document a practice needs signed, and all of them run the same way.

Capability

Can they sign on a phone?

Yes, and most will. The letter opens in a browser with no app to install and no account to create. It works one-handed on a train, which is where a surprising number of engagement letters actually get signed.

Every letter personalised with its own fee, scope and signatories — one template, four hundred letters.

Capability

Can we send four hundred at once?

Yes. Select the clients, pick the template, and every letter goes out personalised with its own fee, scope and signatories. You watch them come back on one board rather than in four hundred email threads.

Confirm bulk send exists at the volume claimed. If there is a limit, state the real limit here — a buyer who discovers it on day three is a refund, not a customer.

Capability

Does it chase for us?

On a schedule you set, in your firm's name, until it is signed or you stop it. The reminders are polite, they stop the moment the signature arrives, and every one of them is on the record so nobody chases twice.

Capability

What evidence do we get, and is it secure?

The signed document, a signing certificate, timestamps for every action and the IP record, stored together on the client record and in your own SharePoint. It is the form you will want it in if anyone asks you to evidence the engagement.

CREDENTIALS-01 pending

Your actual certifications only. If FigsFlow holds none of these yet, show none — an unearned badge is the fastest way to lose a firm that checks.

A separate signing tool, or the letter itself

E-sign engagement letters from a general signing tool and you sign a file. The tool does not know what the letter said, what the fee was, or that a job should now open. That gap is where the re-keying lives.

A standalone signing tool

Six steps, and the last one is a thing somebody has to remember.

  • 01Export the letter to PDF
  • 02Upload it
  • 03Drag signature boxes onto the page
  • 04Download the signed file
  • 05Save it somewhere

And then remember to start the work.

Signing inside the letter

The document is already the record, so there is nothing to move.

  • 01The letter is already the document
  • 02Signatories are already known
  • 03The signed copy files itself

And the next step opens on its own.

SPOT-03 · 200 × 72 — left: a document lifted out of a stack, signed, and set down somewhere else. Right: the same document signed where it already sat.

Who uses it

Whose problem this actually is

Pick the shape of your practice.

You send maybe six engagement letters a month. Each one currently costs you two polite chases and about ten days of not quite knowing. Signing on a phone turns that into an afternoon, and you stop being the person who has to remember.

Your stack

Works with what you already run

Signed documents land in your own SharePoint tenancy. Notifications go out through your Microsoft 365 or your own sending domain, so the client sees your firm, not ours.

Pricing

What it costs

Signatures are not metered. E-signature is unlimited on every plan — no credits, no per-signer limits, no envelope counting, and nothing to expire. It is included on the free Letters plan, on Onboarding from £24 a month, in Practice Management and on every seat of the Practice Suite. The only plan it is not in is CRM on its own.

The whole platform

Practice Suite — every module, one price per person. The whole firm on one system, from the first proposal to the last deadline, with unlimited e-signatures on every seat. Billed annually, two months free. See every plan.

What sits either side of this

A signature is the hinge between the document and the work. These four are what the letter comes from and what it sets off; the rest of the platform sits around them on the same shared record.

Questions

What practices ask before they switch

For an ordinary engagement letter, yes. Section 7 of the Electronic Communications Act 2000 gives electronic signatures admissibility, and the Law Commission's 2019 report on the electronic execution of documents confirmed the position for simple contracts. Deeds carry extra formalities. The full position is in our article on e-signature validity.
