The client app for Canadian accounting firms

Your clients, one tap from their paperwork. FigsFlow’s client app shows clients of Canadian CPA firms what you need from them, their CRA deadlines and tax payments, on the same record your team works from.

A mobile client experience built to enterprise SaaS standards. Upload a document with the camera, approve a job, sign an engagement letter, pay an invoice and message the person doing the work — without a laptop, a password reset or an email chase.

The app tour

What your client sees, in four short chapters

Tap through the app from your client’s side. The firm side, where requests are built, chased and filed, is what we walk through properly in a demo.

One list of what you need from them

The app opens on what’s waiting, not a filing cabinet. Overdue items sit at the top, and each one has a single action.

  • Overdue, this week and later, grouped
  • Each task tagged with the account it belongs to
  • Upload, approve, sign or answer from the list

Client app for Canadian accounting firms: to do list on a phone, grouped into overdue, this week and later

It’s March, and your clients are on their phones. Sound familiar?

A T4 arrives on WhatsApp at 10 p.m. A T5 turns up as a blurry photo with no name on it. A client says she sent her RRSP receipts “weeks ago”, and you’re scrolling three inboxes to check.

Your clients bank, shop and book appointments on their phone. Their accountant is the one thing they can’t.

That isn’t a phone problem. It’s a request problem.

Nobody, client or staff, can see in one place what’s been asked for, what’s arrived and what’s still holding the return up. See how one client record fixes it

Home dashboard

Client app home screen: everything outstanding, above the fold

The client opens the app and sees exactly what is waiting on them — not a menu they have to interpret. Actions first, history second.

Where the app sits

One client record, from request to paid

The app isn’t a separate tool for clients. It’s the client side of the same record your team works from, so a tap on their phone moves the job on yours.

  1. Request sent
  2. Reminder on the phone
  3. Records uploaded
  4. Return approved
  5. Tax paid

A GST/HST quarter, closed from a phone

The request lands on the client’s To do list with a notification. They upload the records, approve the return when it’s ready, and see the CRA payment, its amount and its due date under Tax and bills. Your team sees every step on the same record, and nobody re-keys anything.

Worth knowing: the return itself is still prepared and filed in your own tax software. FigsFlow tracks the work around it.

CRA deadlines

What it does

Seven questions every client asks, answered on their phone

Each screen in the app answers a question your team would otherwise take by phone or email, usually more than once.

“What do you need from me?”

One list of what’s waiting, not a filing cabinet

The app opens on what needs the client. Overdue items sit at the top, then this week, then later, each with one action.

  • Grouped into overdue, this week and later
  • Each task tagged as upload, approve, sign or form
  • A badge count on the To do tab

Your firm · To do

“When is it due?”

Every CRA date on one calendar

Deadlines shows each filing and payment date for the client’s own accounts, as a calendar or a list, with the amount where there is one.

  • Filings, tax payments and done items marked
  • HST, T2 and instalment dates together
  • Days left on every item

“How much do I owe, and to whom?”

Tax to pay and your invoices, side by side

Tax and bills lists what’s due to the CRA over the next four months, with confirmed and estimated amounts marked. Your own invoices sit on the second tab.

  • How to pay on every CRA payment
  • Estimates labelled as estimates
  • Overdue invoices flagged

“Where’s my return?”

Status they can check without calling you

Your work shows each job’s stage and the date you agreed, for every account the client can see.

  • Plain-language stages, not workflow jargon
  • An expected date on every job
  • Personal, company and trust work in one place
Your firm · Your work

“Where did you put that letter?”

Documents filed by tax year

Documents groups everything by tax year, shows what needs the client, and lets them upload from the same screen.

  • Filter by needs you, starred or from you
  • Status on each file: awaiting approval, awaiting signature, filed
  • Search across every document

“Who do I ask about this?”

Messages that stay with the job

Clients message your team from the app. Each thread is tagged with the account and the job, so the answer and its context stay on the client record.

  • Every thread linked to a job
  • Unread count right on the menu
  • A notification for every reply

“Can I sign this now?”

Agreements to review and sign

Engagement letters and proposals arrive for review in the app. Clients see the services you provide and the fee for each before they sign.

  • Letters waiting for signature flagged
  • Fees per service in plain sight
  • Signed agreements kept with the date

The difference

Email and WhatsApp, or one client app

Most firms still collect slips, receipts and sign-offs through whatever the client has open: email, text, WhatsApp or a shared-folder link. It works until a document goes to the wrong person, sits on a departed colleague’s phone, or arrives as the fourth “final” version.

“Unencrypted and unsecured”

That's how the CRA describes its own email notifications, which it warns "could be lost or intercepted." The mail itself waits in My Account.

To be clear: an app doesn’t take your privacy obligations off your plate. It removes the step where a client’s slips travel as email attachments and chat photos, and it gives you a time-stamped record of who asked for what, and when.

Client app FAQs for Canadian accountants

What can clients do in the client app?

See what you need from them, check CRA deadlines and tax payments, follow the progress of their work, find documents by tax year, message your team and review agreements. Everything sits on the same client record your team works from.

How do clients sign in?

With their email address. The app emails them a sign-in link, so there is no password to remember or reset.

Can one person see more than one account?

Yes. A client with personal, company and trust work at your firm can view all of their accounts together, or switch to one.

Can clients control their notifications?

Yes. In Settings they choose push and email notifications for requests, deadlines, progress updates, new documents, messages and invoices, and they can set quiet hours.

Is the client app the same as the client portal?

Both sit on the same client record. The client portal works in a browser; the app puts the same to-do list, deadlines, documents and messages on the client's phone.

Is it on the App Store and Google Play?

Native iOS and Android apps are coming next. Ask us in a demo for the current timing.

Does the app file anything with the CRA?

No. Returns are still prepared and filed in your own tax software. FigsFlow tracks the work around them and shows clients what is due.
